Sage TimeSheet - Version 9.5 New Features

The following new functionality exists within Sage TimeSheet V9.5. These features can be viewed in detail by clicking on the links below. To see all the other new functionality from version 5.0 to version 9.0, click here.

Timesheet Approval Process

Sage TimeSheet has improved upon the approval process introduced in version 9.0 to include Project Manager approval and Expense Sheet Approval. 

  • Task component level approval process – Allows a project manager, or multiple project managers, to review and approve the hours that an employee works on a project that he or she manages. This is useful if employees
    in your organisation work on multiple projects. For example, your organisation may have a Contingency Planning project and a Sales Analysis project. Employees in your organisation may work on both of these projects; however, each project may have a different manager. This feature allows both project managers to review and approve the number of hours an employee worked exclusively on the project that he or she manages.
  • Expense approval process – Allows management within your organisation to use the Sage TimeSheet approval process to track and manage expense sheets independently from time sheets. If your organisation enables and configures the approval process, a login and/or group manager can apply an approval process step to an expense sheet without affecting the approval status of the corresponding time sheet for the employee. This is convenient if your organisation finalises expenses and payroll for employees separately. For example, your organisation may approve time sheets on a weekly basis but expense sheets on a monthly basis.

Managing an Installation

  • Login again - Allows employees to bypass the Select Data Source dialog box and directly open the Login dialog box by selecting File; Login again on any view in Sage TimeSheet.

Managing Projects

Sage TimeSheet now includes a project management module. This module consists of two new views that will allow your organisation to forecast and track a budget for each project in Sage TimeSheet v9.5. The project-budgeting feature will include the following functionality:

  • Budget View – Allows managers to allocate a budget for each project in Sage TimeSheet v9.5. In Sage TimeSheet, a budget is comprised of a hierarchical tree that is based on the structure of the task component levels.
  • Schedule View – Managers may schedule work hours for employees by creating schedule time entries. Schedule time entries allow managers to forecast the precise amount of time that he/she expects an employee to work, and then later compares that total to the actual amount of time that the login entered for the employee.

Entering Data

  • Floating point values – Sage TimeSheet now supports the use of "floating decimal points" for rate, quantity and currency values. This allows Sage TimeSheet to respect regional settings that use currency values with more
    than two decimal places.
  • Expense View – Logins must now enter expenses on the Expense View. The Expense View is similar to a spreadsheet, where the rows represent tasks and the columns represent dates. Logins will be able to expand a task to view the expense codes (or expense groups) associated with it. Expense codes allow logins to track cost-based expenses such as hotel rooms and airfare, as well as quantity-based expenses such as mileage and photocopies for employees.

Configuring Security

  • New View rights - Sage TimeSheet provides two new security rights in the Views area of the Security Profile dialog box; Access to Budget View and Access to Schedule View.  
  • Budgeting area - Sage TimeSheet includes a new Budgeting area of the Security Profile dialog box. The system administrator can use this area to configure a login's rights to edit and add notes on the Budget View.

Reporting

  • Excel-based reporting - Sage TimeSheet v9.5 will allow your organisation to display entry-type detail report data in a predefined Microsoft Excel worksheet (*.xls) template.
  • Entry reports – In versions prior to 9.5, Sage TimeSheet displayed only the task components and/or tasks associated with existing time entries on entry-type detail reports. Sage TimeSheet v9.5 will allow your organisation to display used and/or unused task components and/or tasks on entry-type detail reports. This will allow your organisation to generate analytical entry reports. 

Web Timesheet

  • Web server extension - allowing for separate installation of the web component on a dedicated web server. Additionally, Sage TimeSheet v9.5 now includes a configuration utility that allows the system administrator to manage Sage TimeSheet web server extension settings.
  • Time clock interface - The new time clock interface within the Sage TimeSheet applet will provide a simulated time clock, where a login “clocks-in” and “clocks-out” of Sage TimeSheet. This will allow a login to enter time for a
    pre-defined task without using a data-entry view. Alternately, the system administrator may allow a login to access a data-entry view. Additionally, the system administrator may allow a login to select a specific job or project (task component) when he/she clocks-in an employee.

If you have an older version of Sage TimeSheet there has never been a better time to upgrade. The functionality listed below in Version 9.5 provides compatibility with the latest Windows platforms. By taking up an annual maintenance contract with your  upgrade package you'll be entitled to telephone, email and fax support and will receive future upgrades to the latest full version release. Please download a Version 9 trial now or contact us about upgrading your older system.
